How to Add an AI Assistant to WhatsApp Business
You can let an AI assistant answer WhatsApp messages from your own website whenever you have not replied within a few minutes, keep using the WhatsApp Business app on your phone at the same time, and pay no partner company for the privilege. We built exactly this for our own number, and this is every step we took, including the Meta review, and the mistakes that cost us time.
What are we actually building?
Three things working together. Your WhatsApp number tells your website the moment a message arrives. Your website waits a few minutes to give you the chance to answer yourself, and if you do, it stays out of that chat completely. If you do not, it writes one short reply using only your own web pages, with a link to the page it used, marked as an automatic reply.
It is not a chatbot that talks about anything. It knows what your website says and nothing else, which is what makes it safe to put in front of customers: it cannot invent a price or promise something you never offered.
How one message travels
It leaves their phone
Someone taps the WhatsApp button on your website or in your Google listing and asks a question.
WhatsApp tells your website
Meta sends it to your webhook within a second, signed with your app secret so nobody can fake a message.
It waits on a short list
Your website notes who wrote and what they asked, and starts the clock.
You reply first
Your reply from the Business app comes back as an echo, so the assistant crosses them off and stays out of that chat for 24 hours.
Nobody replies in ten minutes
The assistant searches your own pages for the answer and writes one short reply in the language they wrote in.
The reply arrives, clearly marked
With a link to the page it came from and "Automatic reply" underneath. The message text is then deleted.
The steps
Everything happens inside a Meta business portfolio (Business Manager), and it needs to be verified with your company details before Meta will let you go further. Ours was already verified, which saved days.
Verify your website address in the same place. Meta offers a DNS record or a meta tag in the head of your pages; we used the meta tag. Then make sure your privacy page explains the automatic answers: what is stored, for how long, who writes the replies and that every reply is marked. Meta reads it during the review.
In Meta for Developers, create an app with the WhatsApp use case and attach it to your business portfolio. Meta gives you a free test number straight away, so you can build everything before touching your real one.
Create a system user in your business settings, give it the app and the WhatsApp account, and generate a permanent key for it. That key and the app's secret go into your website's private settings, never into the code. Then point the app's webhook at an address on your website, check every delivery against the app secret, and subscribe to two fields: messages, for what people send you, and smb_message_echoes, for what you send from the Business app, which is how the assistant knows you have replied.
This is where it becomes yours. Ours are simple. Wait ten minutes after the last message before answering, so you always get the first chance. If you have chatted with that person in the last 24 hours, stay out of it completely. Answer only from your own pages, never guess a price, never promise results, never mention other companies, and reply in the language the person wrote in.
End every reply with a one-line automatic reply label; in the EU that has been required in the chat itself since 2 August 2026. Add a daily limit (ours is 100 replies) and delete the message text once it has been answered.
Add your own phone as a test recipient in the app and send yourself the ready-made template from the dashboard first, because a test number cannot receive a first message from anyone until the business has written to them. Then reply from your phone with a real question and watch the answer arrive.
While testing, shorten the wait to one minute. Our first test reply came back 90 seconds after the question, and we used what we saw to make the replies shorter.
To use the assistant on the number customers already know, while you keep the WhatsApp Business app on your phone, you need Meta's coexistence onboarding, and that is only open to approved partners. You either pay a partner company or, like us, become a Tech Provider yourself, which is free but means an app review.
The review asks for an app icon and category, your website, a description of how you use each permission, answers about how you handle data, a successful test call for each permission (these can take up to 24 hours to register) and two short screen recordings: one of a message arriving and being answered, and one of your app managing your WhatsApp account, for example creating a message template. Meta says most reviews take up to 20 days. Once approved, Meta gives you a ready-made signup link, you scan a code in the Business app, and your number is connected.
What are the mistakes to avoid?
- Forgetting to subscribe your WhatsApp account to the app. Everything looked right and no messages arrived. Webhooks only start once the WhatsApp account itself is subscribed to your app, which is one call (
subscribed_apps) that the dashboard does not make for you. - Expecting the test number to receive your first message. It will not, until the business has sent you a template first.
- Making test calls from the wrong app. Meta's Graph API Explorer can run as its own app; the review only counts calls made as yours, so check which app is selected at the top before you start.
- Linking the closest page instead of the right one. Asked how to buy a website, our assistant linked our Burgas web design page, because that page happened to match best. Now it only links a town page when the person names that town, and links the general service page otherwise.
- Answering too fast. An instant robot reply to someone who wanted a person is worse than a short wait. Give yourself the first chance.
- Hiding that it is automatic. It is a legal requirement in the EU and it is also simply honest; people are fine with an automatic answer that is clearly labelled and actually helps.
- Starting the review without screen recordings. Record them on the test number before you open the form and the review takes one sitting instead of two days.
Questions
Is the WhatsApp Business API free?
+
There is no fee for access itself. Meta charges per message delivered, depending on the type of message and the country. Replies to people who wrote to you first are service messages, and since 1 October 2026 the first 1,000 a month on each number are free. Messages you send yourself from the WhatsApp Business app stay free.
Can I use the WhatsApp Business app and the API on the same number?
+
Yes, through Meta's coexistence onboarding. You keep the app on your phone and your chats, the last six months of one to one chats are copied across, and you need app version 2.24.17 or newer. A few things change: broadcast lists become read only, disappearing and view once messages are switched off in one to one chats, and linked devices such as WhatsApp on a computer are unlinked.
Do I need a partner company to use the WhatsApp Business API?
+
No. Approved partners can connect you within a day and usually charge a monthly fee for it. The alternative is to become a Meta Tech Provider yourself, which costs nothing but needs Meta to review your app first.
How long does Meta's app review take?
+
Meta says most reviews are finished within 20 days and that it can take longer if they need more information. Ours is in review now, and we will update our experiment page with how long it actually took.
Do I have to tell people the reply comes from AI?
+
In the EU, yes. Since 2 August 2026 the AI Act requires people to be told they are dealing with an AI system at the latest at the first interaction, in the conversation itself; a line in your terms is not enough. We add "Automatic reply" under every answer.
What about Meta's own AI for businesses?
+
Meta has its own Business Agent, which answers from your WhatsApp profile and catalogue, but it is only available to some businesses for now. Building your own means it answers from your website, follows your rules and waits for you first.
See it working
We are running this on our own number as a live experiment, and we will update that page the day Meta finishes the review and every month after with real numbers. If you would rather we set it up for you, we can build it into your website.
